Las Vegas Trade Show Freight
Las Vegas Trade Show Freight — Calway Logistics provides expert freight forwarding, advance warehouse, and drayage coordination for Las Vegas convention centers.
Why Calway
Why Calway for Las Vegas
We are based in La Puente, California — 260 miles from the Las Vegas Convention Center. A driver leaves after lunch and is at the advance warehouse before dinner.
Most carriers route to Las Vegas from a dispatch board. We already have a driver on the road. That distance gives us daily run capability, same-week rerouting for schedule changes, and the ability to add trucks during peak show weeks like CES and SEMA without subcontracting.
What the proximity buys you
Right hall routing. LVCC has four halls — Central, South, North, West. Each has its own receiving dock. GES charges cross-hall drayage if your freight lands at the wrong one. We route to the correct dock before the truck leaves LA.
Lower drayage risk. Direct-to-show delivery at LVCC runs 1.5x to 2x the advance warehouse rate. Our LA warehouse serves as a staging point — we inspect, re-label, and send last-mile LTL to GES or Freeman on your deadline schedule.
Union coordination included. Las Vegas requires union workers for I&D. Teamsters move freight. Carpenters build the booth. Electricians handle power. Riggers handle overhead. We book and schedule all classifications as part of the freight package — you do not manage four separate union calls.
Routes
Freight routes to Las Vegas
| Origin | Mode | Transit Time | Risk Factors |
|---|---|---|---|
| LA / SoCal (260 mi, I-15) | LTL / FTL | 1 day | CES/SEMA week traffic at Barstow. Budget an extra day during peak show weeks. |
| Bay Area (I-5, Grapevine, 58 to 15) | LTL | 2 days | Winter Grapevine pass closure. First week of January (CES) is tightest window. |
| Chicago (I-80, Nebraska, Utah) | LTL / FTL | 3–4 days | Winter I-80 shutdown in Utah. Book at least one week buffer. |
| New York / East Coast (I-80 across PA, OH) | LTL / FTL | 5–7 days | Missing advance warehouse = 1.5x–2x drayage per CWT. Book minimum 3 weeks. |
| Dallas / Houston (I-10, I-20, El Paso) | LTL | 2–3 days | I-35 DFW construction delays. Summer storms in West Texas. |
| Seattle / Portland (I-5, I-84, Columbia Gorge) | LTL | 2–3 days | Winter I-5 Oregon ice. Chains required, traffic slows to 25 mph. |
| Asia (via LAX / Long Beach) | Ocean / Air | 7–14 days ocean, 2–3 days air | Min 2 weeks vessel-to-deadline buffer. Customs clears at LAX/POLB. |
| Europe (via LAX consolidation) | Ocean / Air | 7–10 days | Customs document errors = crate sits at airport. We provide full checklist at booking. |
Route tips
All international freight lands at LAX or Port of Long Beach, clears customs, routes through our La Puente warehouse, then goes LTL to Las Vegas. Air freight is cost-effective for shipments under 500 lbs. Ocean requires minimum 2-week buffer from vessel arrival to show deadline.
We provide a drayage estimate in every quote based on show, venue, and crate count. Advance warehouse delivery is consistently the most cost-effective option.
Save on drayage

What you should know shipping into Las Vegas
Venues we serve
| Venue | GSC | What Matters |
|---|---|---|
| LVCC | GES | 2.5M sq ft across Central, South, North, West halls. Advance warehouse opens 30 days before show. Know your hall number before you ship — wrong dock triggers cross-hall drayage. |
| Venetian Expo | GES | Connected to Venetian hotel. Separate receiving schedule from LVCC. Same GSC, different rules and timing. |
| Mandalay Bay Convention Center | GES | South Strip. Mostly consumer and association shows. Smaller receiving windows than LVCC. |
Union requirements
All I&D labor at Las Vegas venues requires union workers. California Right-to-Work rules do not apply in Nevada — Teamsters, Carpenters, Electricians, and Riggers all have jurisdiction at LVCC. Cross-classification work is not permitted. Calway coordinates all union bookings as part of the freight plan.
The four biggest shows at LVCC
| Show | Month | Freight Planning Note |
|---|---|---|
| CES | January | Tightest window of the year. Holiday schedule compresses advance warehouse timeline. Book minimum 6 weeks before deadline. |
| NAB Show | April | Predictable schedule. Advance warehouse window stable year to year. Manageable if you hit target date. |
| SEMA | November | Marshaling yard fills up quickly. Direct-to-show risks unloading dock delays. Advance warehouse strongly recommended. |
| MODEX | March (even years) | Supply chain exhibitors ship heavy. High crate-to-booth ratio. Plan for larger freight volume per booth. |
Marshaling yard
The LVCC Marshaling Yard is available for large vehicle staging during move-in and move-out. Access credentials managed through the venue or GSC. Without them, trucks wait at the gate.
Drayage costs
Advance warehouse delivery is the most cost-effective option. Direct-to-show at LVCC typically runs 1.5x to 2x the advance warehouse rate. Overtime after 4:30 PM during move-in adds surcharge. Current rates for most LVCC shows range from $95 to $185 per CWT depending on show tier and delivery method.
