Shipping into New York City is the most logistically complex trade show market in the United States. The Javits Center on Manhattan's Far West Side operates under strict union jurisdiction, constrained loading dock access, and Manhattan traffic that does not forgive a missed window.
Calway handles NYC freight as a dedicated lane — we know which hours to arrive, which docks serve which hall, and how to route around bridge and tunnel restrictions. NYC drayage rates ($2.00–$3.50 per pound at the Javits Center) are among the highest in the country. The single biggest cost control is advance warehouse delivery, which avoids direct-to-show surcharges and marshaling yard delays.
What makes NYC different
Vehicle restrictions. Commercial trucks over certain weight limits are restricted on NYC parkways and some bridges. We route every NYC delivery through approved truck routes and plan arrival windows around Manhattan traffic patterns. A truck that misses its window by 30 minutes can lose 2+ hours circling the block.
Union jurisdiction is strict. The Javits Center requires Carpenters, Teamsters, and Electricians for I&D. Unlike Las Vegas where self-setup rules are more flexible, NYC limits self-setup to one-person hand-carry (no tools, no ladders) under 250 sq ft. Any booth requiring assembly, electrical connection, or freight movement needs union labor.
Freight consolidation. For East Coast exhibitors, we can consolidate multiple crate shipments at our route hub before final delivery to the Javits advance warehouse. This reduces the number of individual deliveries and lowers per-crate drayage costs.

Route tips
NYC is the only market where we recommend booking freight at minimum 3 weeks before the advance warehouse deadline for West Coast origin. The combination of transit time, NYC traffic, and show-week scheduling makes last-minute routing expensive.
For international exhibitors, air freight direct to JFK is often more cost-effective than ocean to an East Coast port + LTL to Manhattan, especially for shipments under 1,000 lbs.

Union requirements at the Javits Center
The Javits Center operates under union jurisdiction for I&D. Three classifications cover most show-floor work:
Carpenters — Booth assembly, uncrating, structural build, graphic installation, re-crating. If your booth requires more than a pop-up, you need Carpenters.
Teamsters — All freight and material handling from dock to booth. Pallet jacks and forklifts are Teamster territory.
Electricians — Every electrical connection. At Javits, even plugging in a monitor or daisy-chain of lights can require a union electrician. Confirm the threshold with your GSC — it varies by show.
Self-setup allowance: Very limited. One person, one trip, hand-carry only, no tools, no ladders. Booths over 250 sq ft default to full union I&D.
Drayage costs at the Javits Center
NYC drayage is among the highest in the US. Current rates at the Javits Center range from $2.00 to $3.50 per pound of freight, billed per CWT with minimum charges. A 10x10 with 500 lbs of freight could see drayage of $1,000–$1,750. A 20x20 with 2,000 lbs: $4,000–$7,000.
Advance warehouse delivery through Freeman lowers the rate and avoids direct-to-show premium. The advance warehouse typically opens 30 days before the show and closes 5–7 business days prior.
